Prevalent Meeting Issues and Tips to Deal with Them

Meetings — love them or hate them; the fact remains that we just can not do without them. After all, they serve a crucial role in whatever context they may be held in. But if we were to think about them only from the perspective of business, meetings become an even more vital part of the process, since they help companies and employees make sure that things across the business keep moving as planned and intended. And yet, strangely enough, meetings are often deemed to be one of the biggest hindrances to efficiency across organizations of all sizes. One reason could be higher up the chain you are, the more time you will spend in meetings. So there is that, of course.

Unfortunately, those are not the only issues associated with meetings that, in turn, take a toll on the company, its processes, and the business—starting from basics such as getting everyone in the room on time, navigating one’s way through the involved meeting set up, and on and on. Unfortunately, these are not the only problems with meetings that destroy their ability to be effective. And to ensure that doesn’t happen to you as well, the first step is to understand some of the most common problems that are associated with meetings. Let’s get started.

    1. Meetings were running into overtime: This is the story everywhere, i.e., sessions running well over their time slot. It can be especially problematic when another meeting requires the resources engaged for one sitting (the one that is in overtime) after the former has ended. As a result, now the following meeting is late as well, and it is like dominos from there. Thankfully, there is a solution to this problem: scheduling. A solution with such functionality can quickly help organize available time slots, and that makes it substantially easier to stick to them as well.
    2. Efficient attendee focus management: It is a fairly common occurrence, especially when you are dealing with long meetings. While it may be understandable, the fact remains that it defeats the purpose of the meeting if the attendees are not focused. It can be dealt with via meeting agendas and facilitators; knowing the schedule will allow attendees to prepare while the facilitator will help make sure that meeting proceeds and flows as planned.
    3. Recurring meetings: Repeated meetings are set up only because they serve a purpose. But given the fast-paced world we live in, that purpose may quickly change or cease to exist entirely, thus rendering the recurring meetings moot. To ensure that recurring meetings are conducive to business, regularly evaluate the agenda, and decide if it should be continued or not.

It can seem like a massive challenge to ensure that meetings continue to be the top-notch conduits of productivity as they once were.
