Tips on Transcribing Bad Audio When using a Digital Transcription Service

by Julie Clements Promoter
Before the advent of modern office equipment, the only way to transcribe audio was a collaborative process between the speaker and individual who recorded their words.  This process is not a reliable one as there may be frequent repetitions and errors, and sometimes unfinished materials due to time constraints. But today, with advanced equipment and software any audio or video can be transcribed into any desired format with utmost accuracy. Organizations can now greatly rely on digital transcription services that can provide quick accurate and quality data. These services help in improving the productivity and efficiency of the organization.

The significance of audio transcription is in that it helps in generating a written record of important events’ recordings and also provides machine-readable information for dissemination on the internet. Transcription of audio recording is a great help for hearing-impaired individuals. Today, prominent business owners go for audio transcription as it helps backup and archiving of crucial recordings. Transcription of any audio can be also repurposed for making other content types like infographic, tweetable quotes etc. Audio to text transcripts also make audio searchable and thereby more people can discover your content. Transcription is now widely used in the fields of media, law, IT, healthcare, construction, academic institutes, entertainment etc.

The bad quality of audio recording could be due to various factors like noisy background or foreground, people talking over each other, use of any specialized terminology, muffled or quiet recording, fast talkers, and recordings made in public places, or speakers with thick accents.

4 tips for transcribing bad quality audio

  • Use a good quality headphone or earphone: Having a good quality headset and earphone is a must for transcribing audio clippings. To transcribe bad quality audio, use high quality ear phones that give you better sound and help you hear better. This will make it easier to transcribe the audio with clarity.
  • Improve the audio with sound editor: Use a sound editor in situations where it is very difficult and you have to recover what is being said. Audio and sound editors can remove background noise, clean unwanted noise and enhance the audio so that you can hear the voices better and make it easier to transcribe bad quality audio.
  • Slow down and speed up the recording: Slowing down and speeding up the recording can help distinguish words easily and also help with clarity issues.
  • Use Express Scribe if needed: You can also use Express scribe tool instead of sound editors to cancel out background noises.

Some other tips:

  • If any section of the audio is difficult to hear, or if you don’t understand some words or sentences, then pay attention to the context to help understand what is said and do not make any guess.
  • It is better to indicate that words are inaudible than to transcribe incorrectly. Inaudible refers to words or sentences you can’t hear and unintelligible means that you hear sounds but can’t make them out, but most people just use the term inaudible for both situations.
  • Instead, mentioning [inaudible] or [unintelligible] or if several inaudible words are therein the transcript, it is better to add the timestamp to the [inaudible] so that the reader can quickly find and listen to the particular spot in the recording.
  • Some transcriptionists use [] while others use ().  Some companies or clients may instruct you to indicate inaudible words differently.

Professional digital transcription services can capture each and every word spoken on the audio file and transcribe audio recordings into accurate documents. Today, there are many services that provide quick transcription of huge volumes of data into error-free data. They have experienced and highly trained professionals who have expertise in converting audio in a coherent and logical manner.
