Planning and controlling in project management

Introduction:

Planing in project management- planning is the blueprint of the procedure a project team decides to pursue in order to achieve project goals. The main objective of planning in project management is to bring together the vital aspects of the project such as its scope, estimated time consume, estimated cost and associated risk involved. Planing also involves delegation of responsibilities to the team member, defining their role and objectives attached to their roles and how achievement of these objectives, associated to the role of each team member, will help in realizing the final objective of the project. Furthermore, project planing facilitates estimating and forecasting, evaluation of alternatives, decision making, performance appraisal, and control. Project managers provide leadership to the team in the area of planing and may delegate some responsibilities to his team members in terms of administrative activities etc. The number of project planners depends upon the size of the project. Big scale project may need more dedicated planners.

Controlling in project management- controlling or project control is crucial in successfully realization of project and programme objectives like rendering benefits to cost, time and performance. Project control refers to the act of gathering data, management of data, evaluation procedure used to forecast, comprehend and beneficially affecting time and cost results of a project. And this information is communicated in formats that aids constructive management and decision making. Project control professionals are part of project team and are accountable to project manager. The main task of project control professionals to generate and maintain the information that helps the project manager to exercise control. Project control mainly involves “informing, monitoring and analysing”.

Since planning involves a good amount of time invested in analyzing the scope of the project, estimating cost and associated risks, it’s more likely to render success and relatively more cost-effective approach.

Planning helps in defining the roles of each team member, which leads to greater mutual understanding and commitment towards the realization of project goals.

Planning helps in identifying problems beforehand which gives ample time at hand to take correct measures to face those problems.
