The problems of electronic storage

by Umar Bajwa Lead the world

One of the main problems that must be solved while organizing the long-term storage of electronic documents is confidence that files will have readability throughout their lifecycle. This task is multifaceted: it is necessary to make sure that the electronic document can be read on the computer system or device where it was originally created and then where it will be stored in future. Now, of course, we can't predict which format will be the universal after one hundred years but I’'m sure that today is most relevant format is PDF. PDF has good compactness, light weight, security options, but one minus - it’s hard to put inside some changes. Trying to change PDF you will lose a lot of time, so just use my advice - convert your PDF to DOC format, then do some changes.

The information stored on a digital medium even using PDF can become unreadable over time. There are two reasons for this:

1. The influence of poor storage conditions leads to physical deterioration or deterioration of carriers. All types of media which are used for storing electronic documents are sensitive to the effects of unfavorable environmental conditions, such as temperature and humidity changes. Such unfavorable conditions either damage the carrier or accelerate the process of its "aging" and degradation. To provide the maximum lifetime of different types of digital media, the different levels of monitoring of environmental parameters at storage sites are required.

2. Moral obsolescence of media and equipment that occurs when a device (for example, tape or disk) is physically incompatible with existing computer equipment (for example, a CD-room drive), and therefore information can not be read. Moral obsolescence of carriers is inevitable, as technological advances are constantly changing the ways of physical storage of electronic documents. As a consequence, older media become incompatible with later media and equipment.

A better way out in this case may be cloud storage, which does not imply physical storage. For convenient storage, it is also important to select the file format. For example, PDF remains relevant more than 15 years. Therefore, the combination of cloud + PDF looks very interesting for users. With PDF the question maybe only with editing. To change the file you need to convert your PDF to Word and make the necessary changes. This is a quick and inexpensive solution to the editing problem - because you can convert PDF to Doc via special free software or by online services.
