The Indian Documentation Procedure

The foremost service to NRIs is documentation of an individual in India. Starting from our birth till death, we all feel an utmost need for different documents (whether personal or professional) at different times. Let us have a look at the essential documents for NRIs:

  • Birth Certificate: Birth Certificate is the most essential document for an individual. It gives him the documentary proof of his date of birth and parents’ information along with the relevant citizenship rights.

  • Degree Certificate: Next very essential document is the degree certificate. It certifies that an individual has passed and completed the mentioned educational qualification from the school or college. It is useful when someone is applying for higher education or job abroad.

  • Mark Sheets / Records: After degree certificate, comes the marks sheet wherein one gets the record of the marks obtained by him during secondary or senior secondary school (grades 9-12) and the college or university levels.

  • Syllabus: Syllabus is a drafted framework of the subject matter to be covered up within the said education and training session. Its copy may be asked for as a proof of having gone through the studies in the subjects as specified in the mark sheet for higher studies or job application.

  • Medium of Instruction: It refers to the language used in teaching. It may or may not be the authorized language of the country. Medium of Instruction from educational organizations is usually required for higher education or job application or registration with professional companies abroad.

  • Bachelorhood Certificate: Bachelorhood Certificate can also be stated as CENOMAR, that is, Certificate of No Marriage Record. It is a proof of the marital status of a person. In a handful of countries bachelorhood certificate is required to get married. However an individual can arrange an affidavit with the First Class Magistrate, which must then be signed and sealed by the Magistrate. Moreover, it must be duly authenticated by the External Affairs ministry. 

  • Marriage Certificate: When one gets married, he/she needs the marriage certificate in order to prove their marriage as legal. Marriage certificate is provided only if the marriage is registered with the sub-registrar office. It cannot be obtained in the physical absence of either of the related partner as it is an essential requisite for the registration.

  • Death Certificate: It is issued by the Municipality/Government authority of the place where the incident occurred, mentioning the date, fact and cause of death. Registration of death is important to relieve the deceased from social, legal and official duties, to enable property inheritance settlement and to authorize the family to obtain insurance and other benefits.

  • Non Availability of Birth Certificate: It is an official document issued for unregistered Births stating that the birth records of a particular person are unavailable. They may mention a reason for the non-availability in that statement too. 

  • Changing Non Availability of Birth Certificate: The next important step should be to change NABC into birth certificate. This work would require an authorization letter from the applicant in favor of the service provider to represent the applicant.

  •  PAN Card Application Submission: Permanent Account Number (PAN) issued by the Income Tax Department is compulsory to be mentioned on all documents belonging to financial dealings informed by the Central Board of Direct Taxes depositing a large amount of money in the bank, travelling abroad and expensive purchasing etc.

  • Reference Letter: It is a good conduct letter issued by the educational organization attended by the applicant and is sometimes required for higher education or a job application.
