Few Essential Elements to Include in a Relieving Letter

Relieving letters are issued by an employer when an employee quits the organization and has completed the notice period with the organization. Relieving letters establishes the fact that the employee is no longer associated with the organization. A relieving letter includes the designation of the employee, last date of employment, duration of employment, employee ID, and signature from the employer as a confirmation that the employee is no longer associated with the previous organization. 


Let's have a look at the important elements included in a relieving letter :


Designation of the employee

The designation of the employee at the time of resignation is included in the relieving letter. This briefly explains the journey of the employee in the organization. 


Last date of employment

On the last date of employment, the employee receives clearance from the managers as a confirmation that from this day onwards the employee has been relieved from all the responsibilities of the organization and is no longer associated with the organization. 


Duration of employment

Duration of employment includes the date of joining of the employee until the last of the notice period the employee has served as an employee for the organization. 


Employee ID

Whenever an employee joins the organization he/she receives an identification number from the organization which registers him/her as an employee of the organization. This employee ID assists the next organization to verify if the employee was associated with the organization before joining. As there are various organizations that opt for a unique id code to maintain the record of the employee life cycle. It assists the organization to verify the employee as an esteemed member and provide the required details for background verification purposes. 


Signature of the employer

It needs a signature of the designated employer for any letter including the verification letter to officiate the fact stated in the letter. For example, a signature in an offer letter of the employee establishes that it is a genuine offer from an esteemed organization and is issued under the governance of the employer. A signature in the relieving letter establishes the fact that the employee has resigned from his/her duties and is acknowledged by the employer that he/she will no longer be associated with the organization. To put in simple words he/she is relieved from the assigned duties of the organization. 


To receive a relieving letter the employee has to follow certain procedures in accordance with the policies of the organization. Each organization has its own set terms and conditions of joining and the resignation of an employee.  Several organizations provide various technological devices and convenience for the employees to ensure that the employee does not have to face any hurdle while working for the organization. For example, many organizations provide laptops, computers, cars, apartments, etc under the employee satisfaction scheme. It is imperative to note that these benefits might vary according to the organization policies. Once the employee decides to quit the organization he/she has to return the gadgets and apartments allotted to the employees by the organization. This involves a clearance from various departments such as the IT team ensuring that the gadgets provided have not been hampered. A relieving letter is issued by the organization after completion of these formalities in accordance of the policies of the organization.

These elements might be considered as a common element included in any form of an official letter. But it holds of great importance as missing minute details might hamper the employee’s career and reputation. When an organization issues any form of letter such as relieving, with these elements it enhances the resume of the individual as it establishes the fact the employee was associated with an esteemed organization. It imparts the image of professionalism of the employee and the organization. As joining any organization without a proper exit may hamper the reputation of the organization and the employee.
