Managing Security for Special Events
It is the duty of an event organizer to offer a secure and safe environment for the event. You can only accomplish this if you pre-plan by anticipating potential concerns and problems that may happen during the event. The problems and concerns must also be related to the events surrounding environment and activities. Areas that must be analyzed in depth include the events type, time, size, and location. Every area must be examined and addressed in depth in the security plan you have.
In most cases a special event is likely to proceed as planned and the security team may not have a lot of work once the event starts. However, sometimes they have to handle incidents like vandalism, traffic control, public intoxication and many others. In other cases, major security breaches also occur hence disrupting the entire event. The security team must be prepared to handle any anomalies.
Consider using the following guiding principles:
• Make sure that you plan for worst case scenarios such as violence by protesters, extraordinary crimes, natural disasters and possible terrorist attacks. It is also important to prepare how you can deal with ordinary incidents and crimes like auto thefts, pickpockets, and disorderly conducts.
• Establish effective but temporary organizational arrangements, methods of communication and managements structures. You can come up with new ones if need be.
• All the appropriate federal officials must be informed in advance about the event especially if it has a national or international significance. This will guarantee you the possible support if need be.
• Ensure that the event runs smoothly and safely by respecting the constitutional rights that have been set in your locality.
• Weigh some of the security measures that must be taken to ensure that the event id profitable, well attended and enjoyable. This included searches, street closures or placing highly visible tactical units.
Phases involved in event planning are as follows;
Pre-event Planning
This is the first phase, and it can begin as early as 12 months before the special event. During this time, authorization has to be sought from the local governing body. This is also the appropriate time to reach out to partners if you need their collaboration, meet with the partners and members and also develop contingency plans and detailed security plans.
Security Management During the Event
This phase starts before the officials, spectators, crowds, media and the others gather at the designated event site. There are events whereby people have to gather several days beforehand. The tasks in this phase include ensuring that all the critical operations are functioning well such as the communication command center, access control posts and credentialing. Also, the readiness of support and field areas like emergency medical services has to be checked.
Post Event Activities
This is the last phase that starts the moment the event comes to closure. Here a comprehensive review is conducted, and lessons are drawn. Equipment accounting and security bills are also taken care of in this phase.
