Nothing beats the old school, person to person hand off when it comes to security of sensitive information. There is no electronic transfer method involved, so there is nothing to hack. Your information will arrive at its intended destination unopened and unmodified.

Short of kidnapping the messenger, there can be no security breach. And in these days of processing large data in paperless form, your information can be stored on a USB drive and sent via hand. But this is only good for short distances. What if you have time-sensitive information that needs to be acted on, a hand to hand or person to person delivery will not work. This leads us to electronic transmission.

Emails, Encrypted mails and Faxes. We all know that an email is a little bit more private that a message board. Even with the private email servers most companies use. It takes only the most minimum of efforts for a rookie hacker to have access to a company’s email as it travels across the internet from your computer to the recipient’s computer.

While an encrypted email is a significantly more secure, as it encrypts your document at your end and remains encrypted until the recipient receives it, there is no guarantee that the person at the other end has the same level of security consciousness that you have. And if this is the case, you might as well send the message via a public email. A fax is not only highly susceptible to hackers; it is also very open to a wide margin of human error. Apart from the possibility of sending to the wrong recipient simply because you happen to dial a number wrong, most fax machines are accessible to virtually anyone in the company; which means a sensitive document can very well fall into the wrong hands.

Organizations should therefore adopt a more proactive approach to ensure that sensitive and confidential business correspondence are sent and received securely.

A good alternative is a system that allows for the same level of security for both the sender and the receiver such as an EDI System.

Organizations should also do more of employee training in security best practices. As simple as this is, it can play a significant role in preventing a lot of security related problems in the organization.
