So you decide to arrange a meeting on the hillside just for a change. But before you think of executing this idea, first you need to know whether or not it would be convenient for all the invitees to reach the location. 2.       Count

 You don’t need to keep a head count here but at least you ought to keep an accurate count of the number of guests that are expected in the meeting. This is a very important task as the number of invitees will decide the space that is needed for the meeting. The other idea is that you first decide the date and number of people and then choose the center that is available on that date. The first idea would mean adjusting your whole meet as per the center’s availability. The second option, though it may sound more convenient, it also means that you may need to compromise on the quality of the conference hall.


4.       Advance booking

Rather than bearing the brunt of refunds or confusion, it is better to pay the venue some token amount. Money speaks for itself and this is still business; paying for the conference center in advance creates good impression of the company.


5.       Requirements

Let’s just say that the size of the hall is for about 250 people and you have around 260 guests. On the other hand, it also doesn’t make any sense to book a hall for 600 people just because of 10 extra people. What you may do is ask for extra arrangements to be made such as asking for extra chairs. Also, be ready to expect some guests more than what is speculated because often it happens that the numbers increase as the event date comes closer.


6.       Technical arrangements

If it is a meeting or a conference, you may need to use projectors or screens. Make sure you have the required IT facilities at the conference halls. Lancashire usually has halls that are well connected to all these facilities but it is good to do a recheck on them.


7.       Accommodation

It may happen that your guests or delegates are visiting the city just to attend the seminar or presentation. Arranging hotel rooms may prove expensive for many companies. This would not only save travel time but the guests would be fresher and the inviter may save money on accommodation as part of conference package.
