Five duties of a webinar host after a web conferencing session ends
The success of a web conference depends on the extent to which the participants are able to interact with one another. The responsibility of the host in a web conference is to facilitate interaction between the speakers and moderate the discussion in a fruitful manner, besides concluding the meeting by reaching a resolution. However, it must be noted that the responsibility of the host does not end when the conference does or the final presentation. There are a few duties the host must complete after a web conference ends in order to maximize the professional benefits meant to be derived from the web conference session. The five major duties are as follows.
1. Addressing the questions of the participants
The host must carefully run through the playback video of the web conferencing session and identify the queries of the participants regarding the topic of discussion. It is important to check if any questions have been posed during the presentation by the host. Although it is not necessary to answer all the queries immediately, the host must take note of the questions and try to resolve them in the next meeting. The serious questions, however, need to be addressed immediately through direct interaction with the question-poser.
2. Sharing the slides
The second duty of the host is to compile the slides of the host presentation in a standard format and upload it on a slide sharing application. The link of the uploaded material needs to be shared with all participants via e-mail.
3. Sharing the video recording
The next thing the host needs to do is convert the recorded video of the web conference call into a shareable format. The video must be then shared with all the participants as well as the invitees who could not attend the live conference.
4. Transcription
After the digital sharing is done, the host must transcribe the proceedings for future use. The host can also share the transcription on online forums and use them as a spring board for detailed discussions.
5. Promotion through blogging
Another important task the host must focus on after every free web conferencing session is to plan and execute a promotional program for future web conferences using the content of the completed web conference. Blog posts should be created highlighting the principle topics of discussion, complemented with infographics and video clips. Such posts can be shared in multiple locations over the web to reach the widest possible range of people.
