Digital Distraction: Multi-Tasking or Doing No Task At All

When you have an entire staff dedicated to work with the digital devices and do so many things all together, it can be troublesome concentrating on just one task with so much on mind and so many things to do, a cell phone here, a computer there, a mail to check, a call to answer, a text to send and so on.

It is true that sometimes multi-tasking leads to doing nothing at all because of so much of confusion and so many things to do at the same time. But what makes things more confusing are the useless stuffs in between that your staff just doesn’t need to get involved in.

Take a look at some of these digital distractions and check out how to end up such distractions.

Too many social media notifications

Thinking from an over-burdened social media marketer’s perception, you’ll feel:

“Why on earth do we have so many social media profiles?”

One on LinkedIn, one on Pinterest, another on Facebook, then one on Twitter, and so many more on several other social media sites. And the person entitled to check what’s happening on these places really goes nuts with so many notifications.

Along with this already confusing list of notifications, there comes those which are personal in nature, and your employee simply gets drifted to check them all.

Personal mails popping up or useless ones creating confusion

Checking and answering the mails is another complicated task when you have dozens of mails popping up in every few minutes. One needs to read them properly to avoid drafting a clumsy reply mail, but if there are really too many of them things can go all screwed up and if there are plenty many personal mails popping up added to this already existing confusion, working can be really difficult and full of distractions.

It isn’t a client on the instant messenger or perhaps the client eating up more time

Some friend who has nothing to do with the work or office sending an abrupt “Hiya” can sometimes give a heart attack!! Well, heart attack thing is a bit too exaggerated but it surely can startle the person so much that he’ll forget what he was really doing!

And if the person comes out to be somebody who just doesn’t understand that his friend is at the office doing work and just can’t talk, things get more annoying and of course quite distracting.

But it isn’t a friend always, there are some clients who are always kind of over explaining things or asking too much of the details that in the whole process your poor employee forgets what he was actually supposed to do!

Look who is calling?

Every time your employee tries to read an important document on the table the phone rings, or every time he tries to send an SMS to some client or concentrate talking through the chat messenger, the cell phone rings and all things get lost in the middle. Won’t you be curious to know who is calling?

Is it a wrong number, an advertisement, a super active client, or a friend/relative of the employee, who exactly is calling? Well, all these can sometimes be really distracting and you got to do something to end all distractions.

How will you Save your Staff from ?

Tell your staff the Rule

Below are some rules, tell them to your staff and there won’t be any more distractions.

No unimportant call, mail, text, or messenger chatting

Tell your employees to avoid all the unimportant things whether these are personal ones or office oriented but if they aren’t important or related to the immediate work, not to waste time over them.

Manage clients by asking them to communicate only at scheduled time

This is something you can’t do and only your employees can do it by fixing proper schedule for any conversation with the clients be it through the phone or through chat messenger. But obviously, a client calling your employee who is currently not working on this very client’s project can be really distracting.

Make a schedule for checking notifications

If work is done according to schedule, multi-tasking really gets fruitful results. Now a meeting, then a phone call, here a social media notification, there so many mails to reply: doing all these at once can only be chaotic. Ask your staff to have a proper schedule for checking social media notifications, checking and replying mails, and doing other important tasks at hand so that there is no more cluttering.

What you can do by the way?

Well, these were some of the things which your staff is going to do and you’ll only be advising it. Is there anything that you also have to do? Yes, here it is. Just do it if your staff isn’t very responsible to follow your advice.
