5 Overlooked Ways To Save Time In Your Business

It is said that some of our most precious personal resources are time, energy, and attention. If we want success in our business — and lives overall — we should learn how to save and maximise all three.

In particular, saving time can take insight, forward planning, and regular reviews. This is because it can be hard to assess in the moment — and especially in the busyness of daily commitments — whether we are truly successful in making the best use of our time.

There are many common helpful tips for saving time — including planning in advance, asking for help where possible, single-tasking to stay focused, and more. But some of the most effective tips can also be overlooked.

That’s why we have compiled a list below of five key tips for saving time that are often overlooked, but can still be highly effective.

 

1. Regularly Review

Try never to go blindly into a working week merely hoping to be efficient. Plan your weeks to maximise your time and then take the time afterwards to assess what was and was not successful.

What helped you to save time or stay on track? What hindered you? Assess frankly and honestly and then consider ways the following week that you could maximise what helped, and minimise what didn’t.

By regularly reviewing and making adjustments accordingly, you will soon have crafted a system for yourself that genuinely supports you in making the best use of your time.

 

2. Theme Your Days

Studies show that switching between extremely different tasks can have a detrimental effect on our focus, concentration, and energy levels. That is why more people than ever are discovering the benefits of ‘theming’ their time or days.

This means that a day or period of time has a chosen theme — i.e. a batch of similar tasks that you can complete one after the other without requiring a major mental shift. It can take some trial and error to find which you consider suitable to be themed together.

Many people find that emails and light admin can be grouped together, while meetings, pitches, and other in-person demands are better kept together on another day. Work that requires concentration and silence should have its own time too, while more collaborative projects should have a separate day.

Consider whether the switch between your tasks is extreme or jarring, and aim to make that transition smoother. You will save time by saving energy and thus being able to work more efficiently as a result.

 

3. Hire The Experts

A great way to save time is through considered delegation — especially to experts. Most business owners simply don’t have enough hours in the day to master every aspect of what their business needs to grow — from SEO and web design, to legal matters, creative vision, safety certifications, and more.

Identify the goals and values of your business and hire experts to support them. Some may have excellent guidance on the best environmental practice, for example, or tips for how to stay GDPR compliant.

The best areas in which to hire experts are the ones that are either very complex or time-consuming, or else are vital for the growth and success of your business.

 

4. Reassess Your Goals

An overlooked way to maximise time and efficiency is to reassess your goals. Do they still excite and inspire you? Would they be meaningful to achieve?

Consider how you truly want to spend your time in your business, how you are spending your time now, and whether you can make the two more aligned.

Saving time and improving productivity should never be about merely making ourselves busier. It should be about making meaningful progress in the things that matter to us, and that starts with setting meaningful goals.

 

5. Minimise Distractions

An essential aspect of saving both time and energy is to minimise distractions. This can include putting your phone on silent, logging off chat or emails, closing your office door, or even adding a Do Not Disturb sign outside your workspace.

Minimising distractions can also be more internal — such as training yourself to concentrate for longer and longer periods of time by building up from just a few minutes, as well as setting timers to keep yourself on track.

Technology can be one of our biggest distractions, but if used correctly, it can be a supportive tool. Make use of app limits, silent modes, timer features, and more — but always try to focus on one meaningful task at a time.
