Output Controls: Definition and Various Types

Controls over printing - There should be adequate controls over the printing operations so that there is no unauthorized disclosure of the information that is being printed. Users must be trained properly to select the right printer and sufficient access restrictions can be placed on the workstations that can be used for the purpose of printing.

Reported distribution and collection controls - In order to prevent the unauthorized disclosure of information, there should be secured way for the distribution of the reports. A proper log should be maintained for the reports that were generated and distributed, along with reducing the time gap between printing and distribution. Reports should be timely collected and a proper log should be maintained for the reports that were printed and collected.

Retention Controls - Retention controls take care of the duration for which the outputs should be retained in an organization before they are destroyed. For each item of the output, a date should be determined as per the retention controls. Various factors such as need and use of output, legislative requirements, etc. affect the retention period of the output.
