What You Need to Know About Small Business Accounting

by Joseph Marie General
Plan Your Expenses

The most important part of planning your expenses through small business accounting is honesty. Be honest about what your business needs are and plan your expenses for both the long and short-term. Will you need to upgrade your office equipment in the next year? Do you plan on expanding your business in the next five?

Covering both a short-term and long-term period will help you develop realistic ideas of the expenses you will need to budget for. While it may seem daunting to project so far into the future, especially if your business is just starting out, forecasting your business’s expenses, both long and short-term, is a crucial element of small business accounting; it will help you make reasonable estimates about just how much money you will need to budget for.

Track Your Expenses

Most of us think we have great memories.  Most of us – wait, what was I saying?

When life gets busy (and when isn’t it?), most of us tend to forget things, especially if we’re juggling a lot of details, as all entrepreneurs and small business owners are. Small business accounting is important to help you keep an organized, up-to-date account of your small business’s incoming revenue and outgoing expenses; that way, when tax time comes around, you’re prepared. Small businesses are particularly susceptible to over-taxation, so you will want to have an organized and detailed record of your expenses and expenditures to ensure that you are not required to pay out extra money—or that you are receiving the right amount of money back on your return.

Use Technology

If you’re old school, maybe the idea of doing your small business accounting online may seem like more hassle than it’s worth. But there are numerous free or low-cost user -friendly accounting programs and apps out there that will help make your small business accounting quicker and easier. Many of these programs have easy-to-use spreadsheets that allow you to keep a running tally of all your small business expenses.

The best part? These programs will do the math for you, and they will automatically organize your numbers into legible and easy-to-access spreadsheets. All you have to do is spend a bit of time learning the program (and most are as easy as 1-2-3), and start plugging in your numbers. And remember – unless you’re doing some really fancy small business accounting, you won’t have to pay much money to use these programs, maybe not at all! But if you do have to shell out a bit of cash, so make sure you track it.

However, this method can still be time consuming.  It requires you to devote time and energy to the organization of your business’s small business accounting, and you still need to be knowledgeable enough to analyze and apply that information to your business’s organization structure and all of your upcoming business decisions.  This can become overwhelming, especially if you need to turn over the information quickly in the face of an impending business deal.  If you want a more cost- and time-effective strategy that can garner you professional results, consider outsourcing your small business accounting needs.
