Depending on your target market, you should be able to address your customers’ needs. They may send them any time and they would want a response as immediate as possible. This time frame determines whether they will purchase your product or find another business that offers the same. 

Being online 24/7 shouldn’t be hard in this modern age. If you can’t do this, you can outsource your customer support service to companies who have the expertise. This will not only save you time and effort, but also allow you to focus more on your business’ core competencies.

Use Simple Language


The goal of customer support is so that you can help your customers as much as you can no matter what they may be. That would be difficult to achieve if you can’t communicate with them well. It is best to talk to them in a way that is easier to understand. Avoid technical jargons and industry-specific language. It is in your discretion whether you are going to use formal or informal language. You can gauge this by getting to know your customers. Use clear and direct replies. Provide a detailed step by step instruction if necessary.

Even though you are replying with a canned customer support email, you still have to personalize them so that they sound human. A customer would feel more pleased when they know they are talking to a real person, and not a robot. Huge points when you call them by their names. Show them that you are genuinely concerned and are there to help them resolve the issue at hand.

Social media is a widely used platform for promoting businesses online. You are certainly missing a significant amount of potential customers by not having your own Facebook, Twitter, or Instagram account because almost everyone has a social media account in this digital age. 

You can expect that a lot of them will ask questions online instead of going personally, simply because it is easier and more convenient. Through social media, you can also interact with customers who express their satisfaction or address complaints to control damage.

Aside from providing good quality customer service, it is also important that customer information is kept confidential. This is also a form of establishing trust with your customers. They would like to feel that the information they share is safe and only kept between them and you because it might put them at risk.

Creating a comprehensive FAQ (frequently asked questions) page will save you from answering repetitive questions from your customers. It is a necessity for almost all pages these days. You should pick commonly asked questions you receive and formulate a well put together list of answers. This may include product information, rates, terms and conditions, etc. This will allow you to filter more pertinent and specific messages or inquiries.
