Simple and Advanced Searches in QuickBooks

QuickBooks provides numerous techniques to find specific pieces or collections of information within your business file. However, the most powerful way of doing this is using the Find command. There are two sorts, Simple and Advanced.

You can probably think of several times when this feature would come in handy. 

However, Some common applications include:

Learning if you billed a customer or not

Isolating transactions linked to specific tasks.

Let us say you know that you invoiced Brian Cook because of his kitchen project in December and you also would like to find the true invoice (using the Rock Castle Construction sample database included with QuickBooks). You start the Find dialog box and ensure that the Simple tab is highlighted. Select Invoice in the drop-down list and fill in the details.

It is possible to use the Simple Find tool to monitor transactions like invoices. There are 3 buttons to the right of the search results that allow you to Go To the original transaction, produce a QuickBooks Report or Export it to an Excel worksheet.

Now we will look at an Advanced Search. Click Reset, or start the Find window again if you've navigated somewhere else. Be certain that the Advanced tab is active. We are going to start looking for transactions for each one of the residential customers in Bayshore, CA, that have had remodeling work done.

We will pull out each of the residential customers first. Scroll down in the Filter box and Choose Customer Type. Drop down the list under the Customer Type field tag to the right and then pick Residential. Click Find. QuickBooks displays your list in the results box beneath. Click Find, and QuickBooks narrows down your list farther.
Go back to the Filter box and Choose Name City. Sort Bayshore in the Name City box and then click Find again.

You have just finished a search using multiple filters.

QuickBooks Enterprise Solutions offers even more intricate search capabilities.
However, QuickBooks Pro and Premier -- and QuickBooks Online -- are quite effective at tracking down the tiniest detail within your business file. Learning how to use the Advanced Search especially can help save you time and frustration, and help you cope with customer and vendor queries quickly.
