Print W-3 Form in QuickBooks Desktop and Online

When you’re filing your taxes, you might have to print out a W-3 form. This is a form that employees need to provide if they are working in a foreign country and earning income. Since this form is essential for tax purposes, it’s important to print it out correctly and file it on time. In this article, we’ll show you how to print W-3 forms in QuickBooks.

What is a W-3 form?

A W-3 form is a tax form used to report the wages you earned in a given year. The form is sent to the IRS and can be used to track your income and deductions throughout the year. To print a W-3 form in QuickBooks Desktop, follow these steps:

  1. In QuickBooks, open the Accountant menu (the three lines in the top left corner of the application), click on Income & Expenses, and then select Print W-3 Forms.
  2. On the Print W-3 Forms page, selectWages from the list of items on the left, enter the employee's full name, Social Security number, and Employer Identification Number (EIN), and select Report Type as Wage & Tax Statement from the list of options on the right, and click OK.
  3. The W-3 will print with all of your employee's wages listed on it along with their social security contributions and other deductions

How to print a W-3 form in QuickBooks Desktop and Online

In order to print your W-3 form in QuickBooks Desktop and Online, follow these steps:

  1. Go to File > Print.
  2. In the Print pane, select Employee W-3 Forms from the list of documents to print.
  3. Click OK to continue.
  4. In the Print dialog box, configure how you want your document printed (i.e., page size, orientation).
  5. Click OK to confirm your settings and start printing your document!

What if my company doesn't use QuickBooks?

If your company does not use QuickBooks, you can still print W-Forms.

  1. You will need to first create a file in PDF format and then import it into QuickBooks.
  2. To create a PDF file, open the W-Form in your text editor of choice. Make sure that the document is in landscape mode so that all fields fit on one page.
  3. Next, select File > Export As > PDF. In the Export As dialog box, enter a filename and click Save.
  4. Now you need to import the PDF file into QuickBooks. Click File > Enter Printer Files and locate the PDF file you just created.
  5. In the Select Printer window, select the printer that you want to use and click OK.
  6. You will now see the W-Form in your account receivable register as an invoiced item with a due date of two days from today’s date (this allows for any bank or other processing delays).
  7. To print the form, go to Accounts Receivable > All Accounts and select the invoice from which you want to print. In the Items section of the dialogue box, select Payment Forms from the list on left and click Print Forms button on right.
