New and Improved Features in QuickBooks Desktop 2018

To help the accountants and their clients perform many complicated tasks without any hassle, QuickBooks has come with some of the new features and improved the existing features. These features are as follows:

1. New: Multi-Monitor Support

· This feature is available with QuickBooks Pro, QuickBooks Premier, QuickBooks Accountant 2018 and QuickBooks Enterprise 18.0

· Multi-monitor support is accessible for up to 3 monitors. To use this, follow the below mentioned path:

QuickBooks -> Menu Bar -> View -> Switch to multi-monitor mode

Shortcut- Ctrl + Alt + M

After enabling it, each open window in QuickBooks will show a Move Window to Next Monitor button in the top right corner

· Customize your workspace to get more productivity by switching individual QuickBooks window onto up to 3 connected monitors

· This will lead to improved productivity using the same QuickBooks file

2. New: Past Due Stamp on Invoices

· This feature is accessible in QuickBooks Pro, QuickBooks Premier, QuickBooks Enterprise 18.0, QuickBooks Accountant 2018

· To access the feature, follow this path:

QuickBooks-> Menu Bar -> Lists -> Templates -> Choose the template you want to customize -> In the selected template, from the lower-left template drop-down menu, choose Edit Template -> Place a tick mark in Print Past Due Stamp

· The feature Past Due Stamp on Invoices will display a visual confirmation on the screen if the customer’s invoice has a past due balance. You can also set a template preference to incorporate the Past Due Stamp on printed invoices or emails. To turn off the visibility of this past due stamp on the email or the printed invoice, you can easily make a decision.

3. New: Copy-Line and Paste-Line Keyboard Shortcuts

· This all new feature is included in QuickBooks Pro, QuickBooks Premier, QuickBooks Accountant 2018 and QuickBooks Enterprise 18.0

· The shortcut of this is Ctrl + Alt + Y (COPY) and Ctrl + Alt + V (PASTE)

· This feature works perfect when you have huge repeating rows of information to be copied and paste. Use the aforementioned shortcut to copy an entire row and paste it in invoices, sales receipts, credit memos, estimates and more in QuickBooks

4. New: Payroll Liability Payment Reminder

· You can access it in QuickBooks Pro, QuickBooks Premier, QuickBooks Accountant 2018 and QuickBooks Enterprise 18.0

· Perfect for those with an Enterprise Payroll Subscription, from the displayed Home Page. It will automatically display a red marker on the Pay Liabilities icon, when payroll liability payments are within seven days of their scheduled payment due date

· The feature will help you and your clients reminded of the payroll liabilities payments in future. Right on the home screen, you will see a red reminder badge 7 days before the scheduled payment due date. To use this feature, follow the below mentioned path:

QuickBooks-> Menu Bar -> Employees -> Payroll Taxes and Liabilities and Edit Payment Due Date/Methods

5. New: Merge Vendor Records

· The feature is available in QuickBooks Accountant 2018 and QuickBooks Enterprise 18.0

· You can enable it with this path:

QuickBooks Desktop Accountant -> Menu Bar -> Select Accountant -> Client Data Review -> Merge Vendors

QuickBooks Enterprise file (logged in as an admin or external accountant user) -> Menu Bar -> Company -> Accountant Tools -> Merge Vendors

· Merge Vendor Records feature offers a consolidated window to identify and merge duplicate vendor records with utmost precision. You can choose up to four separate vendor records, assign one as the master record and merge all other together. You also have an option to update vendor record columns on the master record before combining.

6. New: Cash/Accrual Toggle on Reports

· This feature is available in QuickBooks Pro, QuickBooks Premier, QuickBooks Enterprise 18.0. QuickBooks Accountant 2018

· You can find it at the cash/accrual toggle on the top left of a displayed report in QuickBooks desktop

· This feature will help you toggle displayed reports (which has always been one of the most wanted reporting features in this software) between cash/accrual basis mere with a click.

7. New: Mobile Inventory Scanning

· You can access this feature in QuickBooks Enterprise 18.0 with Advanced Inventory

· To use this feature, first sign into the Enterprise company file as the Admin user and then follow the below mentioned path:

QuickBooks menu bar -> Edit -> Preferences -> Items & Inventory -> from Company’s Preferences tab, select Advanced Inventory Settings -> click Site Operations tab

Now, click the hyperlink text fields to get technical details about connecting an Android phone or a barcode device to the QuickBooks Enterprise file.

· This feature will help you record inventory and select quantities at the warehouse by using a barcode device or an Android phone

8. New! Sales Order Fulfillment Workflow

· This feature is included with QuickBooks Enterprise 18.0 with Advanced Inventory

· To connect this feature to an Android device or mobile barcode scanning, sign in to the Enterprise company file as the Admin user. Now, follow the below mentioned path:

Menu bar -> select Edit > Preferences > Items & Inventory, and from the Company Preferences tab select Advanced Inventory Settings, and then click on the Site Operation tab and select the New Sales Order Fulfillment Worksheet

The whole process requires an internet connection. So make sure that you have the same.

· This feature helps in accessing the picklist details on a mobile phone, which is connected wireless to a QuickBooks Enterprise file with an Advanced Inventory. You can check real-time status of sales order fulfillment in QuickBooks Enterprise.

After the new features, we are throwing a light on the improvements in the existing QuickBooks features. Have a look:

1. Improved: Updated Email Security

· This feature is included with QuickBooks Pro, QuickBooks Accountant 2018 and QuickBooks Enterprise 18.0

· Follow this path to access this feature:

Menu Bar -> Edit -> Preferences -> Send Forms -> My Preferences -> Choose Webmail options -> Click Add -> Select Use Enhanced Security during the setup -> Provide Intuit® ID and Password to complete the setup

· Using this improved multi-factor authentication in QuickBooks 2018, you can securely send emails from Outlook, Hotmail, Windows Live accounts, MSN and Gmail. To send an email, you will have to log in to your Intuit® account, which ensures complete security of the email. The best part is that you have to setup this only once and then, you can access send emails from QuickBooks. Another great thing is that you can use multiple Intuit® IDs in a one QuickBooks email setup.

2. Improved: Inventory Report Customization

· It is included with QuickBooks Premier, QuickBooks Enterprise 18.0, QuickBooks Pro and QuickBooks Accountant 2018

· You can enable this feature by following this path:

Menu Bar -> Reports -> Inventory -> Inventory Valuation Summery or Detail Inventory Stock Status by Item, and Assembly Shortage by Item

· Another exciting thing about this feature is that you will get to see customizable display options for the below mentioned inventory reports:

i. Inventory Valuation Summary or Detail

ii. Inventory Stock Status by Item

iii. Assembly Shortage by Item

3. Improved! Search Chart of Accounts

· This feature is included with QuickBooks Premier, QuickBooks Accountant 2018, QuickBooks Pro and QuickBooks Enterprise 18.0

· Search for the Chart of Accounts Windows by the following path

Menu Bar -> Lists -> Charts of Account

· The improved Search Chart of Accounts window enables you to search and select a chart of accounts or sub-accounts simply by entering the account name, account number or even partial words of the account name. The whole process of finding an account from the long list has become easier and convenient with this improvement.
