Most Efficient Ways of Increasing Office Productivity

by Emma L. Business consultant

There are so many things you can do in order to improve your office productivity, however, boosting productivity in the short term and doing so in the long run, are definitely not the one and the same. As an organization, you can’t force your employees to give it their best, you can only stimulate them to do so and the subtler you are, the less taxing (for your employees) this experience will be. With that in mind and without further ado, here are several suggestions.

Better time management

Employee management and time management are two incredibly similar notions, and in order to be better at this, you need to understand two things. First, the time and effort of your employees are resources, however, they are not the conventional inanimate resources that you can manipulate at your own behest. You cannot goad your employees into giving their very best, you have to motivate them to do so. However, sometimes, even with all the best intentions, they might lack the knowledge to make these improvements. This is why it’s important to get employee monitoring software.

The best thing about this system is the fact that it will give you an insight into the work habits of your employees. You see, if one person is underperforming because they’re struggling with the task at hand and someone else is underperforming because they’re on YouTube or Facebook the entire time while they should be working, these are two completely different scenarios. Also, this means that your response needs to be adjusted to the scenario in question. The first person might be productive when switched to another task, while the latter person might not be the best fit for your organization.

Enhancing the ambiance

Despite what you may have been told, distractions come in many shapes and forms. Noise and clutter are just two of their many manifestations. That being said, you need to find a way to enhance the ambiance in other ways, as well. For instance, you could make the place more pleasant to work in by adjusting the temperature to the optimal 22 degrees Celsius (71.6 degrees Fahrenheit). However, the temperature of the air in the room is not all that matters; its purity and quality affect productivity as well. This is why you should install a commercial air purifier and enrich the place with some pot plants. Indoor greenery both cleans the air and makes the place more visually pleasing.

Don’t overcrowd the place

Another thing you need to understand is the fact that you shouldn’t overcrowd the place. First of all, the noise would be unbearable. Second, the traffic around the place might be quite difficult, which may lead to an increase in the volume of tactile distractions. Fortunately, there are more than several ways for you to avoid this problem in a simple and efficient manner. First, you can allow some people the privilege of working from home. In the era of telecommuters, such a thing shouldn’t be too difficult. Next, you could find a local shared office space in order to expand your capacities without having to move or overcrowd the place.

Working in intervals

Another handy trick that your team might be willing to try is working in intervals. You see, it’s in the nature of the human mind to start losing focus after 40-50 minutes of uninterrupted work. This is why if you’re working for 5 hours straight, your 1st hour of work is substantially more productive than your 4th or 5th hour. Fortunately, by working in intervals of 25 minutes and taking a 5-minute break after the work is done, you get to maintain this peak of productivity for much longer. In order to try and make this system more systemic, you could try the Pomodoro technique.

Ergonomic furniture

Back pain caused by inadequate office chairs, completely wrong desk height, bad alignment of office furniture and more can cause no small amount of distress, thus diminishing productivity by quite a margin. Fortunately, by outfitting your office according to the ergonomic principles, carefully choosing and, above all, customizing your office furniture, you can easily overcome this difficulty. Sure, this is not inexpensive, but if you consider the boost in productivity that you’ll get from doing all of this, it’s more than clear that the ROI is overwhelmingly positive.

Conclusion

The very last thing you need to keep in mind is the fact that different people find different factors to be distracting. They also get motivated by different things. This is why there’s a limit as to what you can achieve in this field. Nonetheless, by creating these perfect conditions, you’ll definitely set your team on a path to success.
