Here’s a question I get quite a lot: what is the best communication software for small business?

One of the most common questions. The answer is… it depends! It depends on who you are and what you want to do.

What kind of communication software should you use?

That’s right, even here at Google, there is no standard answer. We have our own take on it and that is a topic for another day… but you know what? We think it’s awesome! Here are some guidelines, with practical examples and tips to get you started.

If you are a small business, you are probably not alone. According to the Bureau of Labor Statistics, there were nearly 2 million small businesses in the US (down from 3.8 million). According to a report by Technorati, there are now nearly 1 billion blogs in existence, and more than 1 million blogs per day (yes, even on slow days).

So how do we do it? How do we communicate? In an era of increasing technology adoption and heightened expectations for continuous communication, businesses must adapt and improve. Some tools have been designed specifically for remote teams and some are designed for smaller offices with telecommuting employees. Most business communication software is also geared toward one-on-one interactions, which is a problem if you need to talk to someone across town or across the world, or if your office is too far away from your home.

At least for us at TechTalk Pro, our software was designed with remote teams in mind — though I’m sure it would work well for most business situations too. But what kind of software did we design and how did we design it?

There’s a lot of hype and attention given to the topic of communication software for small businesses, and rightly so. But the most important question is “Why?” This isn’t just a marketing tool, it helps you gain perspective on your business, which in turn helps you grow.

The fact that it works on mobile devices and has an API makes it stand out in an industry where almost everyone uses desktop applications. The fact that it connects directly to protocols like Dropbox makes it stand out from applications like Box. And because there is no “web server” component to install, it sits right on top of your operating system — meaning you don't have to download anything — but also means there's no additional cost or setup required when using this tool. This means there's no extra work required when following best practices around security and robustness in systems administration. In short, this tool is just perfect and I strongly recommend everyone should use it!

5. How to build a communication platform that connects its users

Routinely getting asked by small business owners to solve their communication problems is one of the reasons I started this blog. It was a long time ago, but I believe that the failure rate for such projects is high.

It’s unfortunate, because for a time it will look like there are a lot of options out there, but after you install and configure them, it becomes clear that the software doesn’t work. You have to find another solution from scratch.

In fact, that’s exactly what happened with us: we had to rebuild our own communication platform from scratch. We had to come up with an idea that could appeal to everyone in our target audience (single founders and businesses of all sizes), which meant being technologically adept enough to create something that would work well on mobile devices (which is why the app uses native Android components) and be simple enough to make it accessible even for people who don’t have technical backgrounds (which is why we wrote it in such a way as to be easy to use). And then we had to convince ourselves that what we were building was worth investing real money in — without any guarantees or guarantees of success.

To recap: getting someone’s attention requires two steps: getting them interested and then convincing them they want your product. You need both of these factors in order to build trust and get your offer taken seriously by customers.

In this post, I want to talk a bit about the different ways in which communication software can be used throughout your business — and how you can use it effectively.
There are three main types of communications software: inbox-based, message-based and chat-based. Inbox-based tools allow you to send emails and messages, but also allow you to send a reply automatically (and sometimes, we include an auto reply). Message-based tools allow you to send text messages. Chat-based tools allow you to send instant messages or group conversations between co-workers.

The best way to use the three types of communication software is depending on the situation. If your customers are spread across multiple locations and work formats (desktop, web, mobile), then inbox based tools will probably be best for them. If you want access to all of your internal messaging channels at once, then chat based tools will be your best bet (and they are much more secure than email). And if people need very low latency access to all their messaging channels or if they just want 1:1 on the phone for quick communication with co-workers or clients, then message based software may be most appropriate for them all.
