QuickBooks Online vs Desktop for Entering Bills

You may probably suspect that QuickBooks desktop is much more sophisticated, but you might be surprised by how nicely QuickBooks Online manages this frequent undertaking.

Entering bills in either the desktop version of QuickBooks or QuickBooks Online is one of these labor-intensive jobs that does not require exceptional accounting knowledge, but does involve extreme precision. If your bills are not entered properly, they will not be paid properly. You'll find yourself either owing late penalties or tying up capital unnecessarily.

All bills, obviously, signify money you owe to sellers. But a few are considered expenditures while some have been entered as items.

Payment Provisions
The bill Date and any associated Reference Number (Ref No)

When you have received a bill for a tangible, physical item, you fill in the line(s) in the Items box in the desktop version (Itemize from Product/Service in QuickBooks Online). If it is a cost, like a utility bill or insurance coverage or some special rush fee on an arrangement, you operate in the Expenses window (Itemize by Account in QuickBooks Online).

In desktop QuickBooks, just one of those windows is visible at one time, and you click on the tab to find the one that you desire.

QuickBooks Online lacks numerous features that desktop offers, including:

The seller address
A Unit of Measure column (U/M), only available in select QuickBooks versions
The Ribbon Bar, which debuted in the 2013 desktop editions; it displays icons for associated actions, like Input Time, Select PO and Merge File
Vendor/Transaction history, found in the right vertical dial.
