Managing Data is Becoming Tougher and Tougher
In the year 2014, total digital data on the planet earth was
estimated to be about 4.4 Zettabytes. And that number is expected to grow to 44
Zettabytes by 2020 i.e. 10 times more. So, the need for data management is also
growing, companies are constantly finding ways to store, protect, and back-up
their data.
So, what exactly is data
management system? It is a collection of software programs that help an
organization to store, organize, modify and extract all the data in its
database. The software accepts instructions by user to transfer data from a
particular application program to the database. All the data that can be found
in an organization manner and can be retrieved easily and quickly. For instance,
data that relate to company incorporation will only be found under that
category and not in the category of data that includes employee details.
What else can you do from data management?
Efficient replication
of existing data: A data management system offers an efficient document
scanning solution and document management solutions. For example, it scans all
the documents that are in paper form and converting it into digital form like
PDF or JPEG. Using this system, an organization can replicate the copies of the
original documents and save them in the database and there subsist transparency
in the replication of data through the various servers used by a data
management system. This keeps every small detail of the data consistent.
Keep the date secure: Every data that is replicated is secure irrespective of the number of times it has been replicated. For instance, the change and access logging facility enables you to see who logged in and viewed a certain file, the time he or she logged in and the computer from where it was viewed. Further, a metadata repository helps to get a detailed description of the data.
So, do it yourself or outsource the data management service? It is completely your choice, if you have
the experts and right resources, do it yourself, if not, outsource the service
to a company with expertise in this domain.
There are list of characteristics that define the kind of
data that is secured under a particular domain. An interesting aspect of a data
management system is that it has a built-in workflow section, which can either
be a manual or rules based workflow. Some widely used commercially available database
management systems in the market are dbase, FoxPro, IMS and Oracle, MySQL, SQL
Servers and DB2.
Advantage of data management system
Flexibility:
Since programs and data are independent, programs should not be changed if
different species are added or deleted data from the database, or when changes
of physical memory.
Rapid response to
inquiries: Since the data are integrated into a single database, complex
queries can be processed much faster if the data were separate, non-integrated
files. In many companies, better customer service means a faster response.
Multiple Access:
Database allows data in a variety of ways and are often accessed using several
programming languages (both 3GL and 4GL programs nonprocedural).
