How to Resolve QuickBooks Multi-user Mode Not Working Issues?

by Jennife Ellen Technical Expert

QuickBooks offers several features, one of which is the QuickBooks Multi-User Mode. This allows multiple users to work on the same company file at the same time. It helps increase collaboration and increases productivity. If you have switched from single-mode to multi-user mode then there is a possibility that multi-user mode may not work and you face the problem of QuickBooks Multi-user Mode Not Working. However, this is an unusual error that you cannot receive but it can be passed on to other system’s servers. This problem occurs when the QuickBooks desktop multi-user mode arises when the user is trying to launch a company file that is located on another Pc.

Main Reasons of QuickBooks Multi-User Mode, not Working Problems: —

There may be a variety of reasons for the appearance of QuickBooks multi-user mode.

  • The server does not have QuickBooks built on it.
  • The hosting settings are not designed properly.
  • Firewall or antivirus software does not allow user-to-user device contact.
  • The database server cannot open a company file for QuickBooks.
  • Permissions for Windows files are not properly set.

How to Fix ‘Not Working Multi-User Mode Error?

Step 1: Use Database Server Manager for QuickBooks

  • Start by opening the “QuickBooks Database Server Manager on your server computer as the first step.
  • Navigate to the Start menu and type in ‘Database.’
  • If no folder location is found, go to the folder that stores the company file, using the Browse option (s).
  • Click the OK button now. By pressing the Scan button, follow it.

If the above steps are taken word for word, the permissions for the firewall are repaired.

Now, the user needs to verify whether or not the multi-user mode has fixed an issue that is not running. If not, then the next move should be taken by users.

Step 2: On each of the User Computers, search Host Mode

  • Now, on the user’s screen, open the QuickBooks File menu, followed by opening the utilities.
  • Notice that the user needs to switch to the next device if Host Multi-User Access occurs on the list. This essentially denotes that the device hosting the company file is not the real application.
  • If Stop Multi-User Access Hosting appears on the list, hosting must be disabled, followed by QuickBooks single-user mode allowed.
  • Once the hosting mode is switched off on all users ’ devices, the QuickBooks multi-user mode should be scanned without a working error.

Step 3: Verify the running of QuickBooks services

Make sure that Quickbooks DBXX (in this case, XX reflects the year of QuickBooks) and QBCF Monitor Service are running on the server computer. Follow the below pointers to use the multi-user mode of QuickBooks services.

1. Typing ‘services. MSC’ in the Windows search bar initiates the first step. Step ahead and the Enter key is pressed.

2. Look for the DBXX QuickBooks service to be shown in the Services window. If this does not occur, then take these steps —

  • Make sure the database system manager is correctly installed on the server.
  • Look out for the right, up-to-date Database Server Manager. As every year after QuickBooks Desktop is installed on the user’s computer, an update is also given to the Manager.
  • If the whole program is running on the machine, it is important to ensure that hosting on the server is allowed.

3. Double-clicking the QuickBooks DBXX service should be part of the next step. If the service gets started, either the Running or Start option should be shown.

4. In the following stage, under the Recovery tab, choose ‘Restart the QuickBooksDBXX Service’ for the first, second, and subsequent failures.

5. For the QBCF Monitor Service, simply repeat points 1,2,3, and 4 as described above.

After following all the above steps, on each of the working computers, the user needs to open QuickBooks in multi-user mode. This is to verify whether or not the problem of ‘QuickBooks multi-user mode not operating’ has been resolved.

If the issue continues and an error message occurs, the QuickBooks DBXX service membership needs to be checked by the customer. The membership service should have all of the permissions required and should be part of the community of administrators.

Step 4: Ensure the data can be sent by QuickBooks

1. It is necessary to follow this solution in two steps:

  • Begin by modifying the antivirus software and firewall settings.
  • If the firewall creates a problem with the QuickBooks multi-user mode not operating, then the user will have to set up all the firewall exceptions manually. Basically, this should be for the ports that QuickBooks software uses for data transmission.
  • If the antivirus triggers the error, then it needs to be configured to fix the issue.

2. As the second step of this approach, to ensure whether QuickBooks will interact with the server or not, the user is expected to conduct file path testing.

By following the method below, this can be done:

  • In the Run command segment, enter the server name and click on the Enter button.
  • After that, navigate to the shared folder on the server using the UNC (Universal Naming Convention) path on the user’s computer.
  • Using the UNC route to go to the enterprise file for QuickBooks.

Step 5: Build a new folder of company files

  • The user has to create a new folder for the company file for this move to work. This should be created on the host machine.
  • Set up a folder and allow windows to access new folder permissions. This should be done so that it is possible to transfer company files across systems.
  • Copy the .qbw file to a new folder as the final move and check whether the company file will open in multi-user mode. If it opens successfully, QuickBooks multi-user mode has not resolved a working problem.
