How Data Entry Outsourcers Create Checklist & Option Button?

Excel is indeed a vast concept. You can do whatever you want to do with the data. Until and unless you learn, you can’t go ahead the curve. It’s really a challenge to battle out a new puzzle every time. But you can easily do it.

It’s a hot choice of data researchers. While carrying on any data entry project, they need to create a streamlined database. However, data is the prime asset to feed correctly. But its interactive form is also a necessity. It’s essential to bear in mind that its communication form is more impactful. It amplifies the significance of what you present.

Let’s say you’re conducting primary research of schools in the Hampshire, UK. You picked web scraping as a weapon to accomplish your goal.  While listing, you recorded data entry of UK schools that particularly belong to Hampshire to the third party. What if you create a list like this?

Abbotts Ann CofE Primary School, Andover

Amport CofE Primary School, Andover

All Saints CofE Primary School, Winchester

Andover CofE Primary School, Andover

Ampfield CofE Primary School, Romsey

Andrews' Endowed CofE Primary School, Alton

The above mentioned list misses comprehensibility. It reads the name of the schools. But the enclosed locations cause friction in understanding.

Excel provides you a number of options to list down your data in a customized way. You can specify the captions. Also, you can create option buttons & checklist to find more specific data.

This article can add a voice to your data entry projects. The entries would look more organized & specified. Even a naïve can extract the gist from the list.

Let’s start with the necessary preps to embed the interactive buttons:

How can you visualise the ‘Developer’ ribbon?

It’s the way wherein you can find many buttons and options. These options would be your exclusive tools to amplify what you want to convey.

Catch on the steps how you can add the developer menu to your menu bar (if it’s not visible).

1.       Hover mouse over the data menu.

2.       Right click.

3.       Click on the topmost option namely ‘Customise Quick Access Toolbar’.

4.       Excel option dialog window will pop up.

5.       Move to the right side menu.

6.       Click ‘Customize Ribbon’ appearing on it.

7.       Out of two visible scrolls, go to the ‘Customize the Ribbon’.

8.       Check the ‘Developer’ box.

9.       Click ‘Ok’.

Now, you’re done with all the necessary steps to call the ‘developer’ menu.

How can you create a checklist in Excel?

Now, the menu bar is ready to offer its options, especially the Insert option. What all you require to do is get ready with the data. These would be the list items.

Let’s say you want to create a list of the Apple Store in Australia & the USA. You need to create a table in this manner:

Countries

City

Australia

Canberra

Australia

Rundle place

Australia

Bondi

Australia

Chadstone

USA

Alabama

USA

Alaska

USA

Arizona

USA

Indiana

I took a few locations (not all) as a sample.

So, here is the list. Now, I want to insert a checkbox so that I can make the items of the list optional. It will let you control the elements of your table more prominently. Let’s go through how:

Out of four Apple stores, only two are open in Australia. Likewise, only one is active in the USA. Have a look and check whether or not it’s communicating itself.

The checked cities indicate that they have the running Apple store. The headline itself says that it’s represents the brand’s center in Australia and the USA.

The checkbox enables you to select one or more options together. Therefore, be it any list you can insert the checkboxes to spotlight which one is active or included.

Steps to insert checkbox:

  1. Go to the Developer menu.
  2. Click on ‘insert’ option down tab.
  3. Out of all controls, select the check box.
  4. The cursor will change into plus (+) icon.
  5. Press left click while dragging the mouse where you want to insert it.
  6. Afterwards, adjust its placement.

Are you a male or female?

The choice would be:

·         Male

·         Female

I would present in the table this way:

The table will look like this.

Steps to insert radio buttons:

  1. Create the caption.
  2. Select the ‘Group box’ from the ‘insert option’ in the Developer menu.
  3. Drag the mouse where you want to insert it. The box would be generated.
  4. Afterwards, go to the insert option again.
  5. Select the radio button.
  6. Now, move to the location where you want to insert.
  7. Drag to visualise the button.
  8. Add the caption to the button.
  9. Repeat these steps for inserting as many radio buttons as you want.

This is how you can breathe life into your data entry project. The communicative data would be helpful in data mining and analyzing. Thereby, the possibility of mistakes would be minimal. Also, deriving new patterns would be a jiffy process.
