Catering Prices: How To Save Money On Your Next Catered Event

by John Parker Managing Director/ IT professional

If you like to have a lot of parties but don't want to do all the work, then you probably want to hire a caterer. Of course, if you do, then you need to add the catering prices into your budget so that you can pull off having the party without draining your bank account.

Hiring a caterer has a lot of advantages that are well worth the money spent. Organizing and planning a big party is extremely time consuming and, if you want everything to go perfectly, then you need to realize that you simply can't do everything yourself. Hiring someone for food prep and service will allow you to be able to mingle with your guests instead of slaving in the kitchen and will take a lot of the stress off your shoulders.

How Caterers Figure Out What To Charge

As you might have guessed, catering prices will depend on how many guests you might have and the types of foods you want to serve. More guests and more expensive food = more money. But, there are a couple of other things that caterers take into consideration when figuring out what to charge as well such as staff wages if you will require servers and setup charges which can vary quite a bit depending on the type of event you are having.

Servers - depending on the type of event you are having, you may want people to serve drinks, dinner or walk around with hors d'oeuvre trays. Of course, this is going to raise your catering costs so you might want to consider how many servers you want. If you really want to save some money, consider not having any servers and you can walk around with the trays yourself while you enjoy mingling with the guests, or simply put all the appetizers on a table and let the guest pick at them buffet style.

Setup - setup is another aspect of your event where you can save money or spend it depending on how much money you have. Of course, catering prices for setup will differ depending on the amount of work involved in the setup. If you want to save some money, consider doing most of the setup yourself and just letting the caterer supply the food.

Typical Catering Prices

Prices charged by caterers vary widely in different towns and also between caterers in the same town. A more established caterer is going to charge higher prices than someone just starting out. That being said, a good ballpark figure to go with is $9 per person for a simple BBQ and $30 or more per person for a sit down dinner. As mentioned above, a big part of the price has to do with the food you want to server as obviously a lobster dinner is going to cost you a lot more than a chicken dinner. You may also have to pay extra for bar setup and, if you are using their dishes and glasses there may be a charge for that too.

Some Things You Can Do To Save Money

If you can't afford an all out catering service, there are a couple of things you could do to save money all of which involve more work on your part. One thing is to hire a chef to do the cooking and work on the serving and setup yourself. This will be a big help because you won't have to worry about cooking the foods and you will get excellent food too! The other thing is to order appetizers from a local restaurant and serve them yourself. This works perfectly for a cocktail party as you can pop them in the oven and circulate them on trays yourself during the party.

Having an event can be a lot of fun but if you have to do a lot of the work yourself, the stress of it can ruin the whole thing for you! If you can't afford catering prices in your area, your best bet is to be sure that you stay organized and ask others to help you out. Try to lighten the load by purchasing premade appetizers to help out.
